For teachers

DBS, appraisal, exam entries and reports across the school year

Teaching fills the day, while the DBS, the appraisal cycle, exam entries and the parent reports fill the evenings and the holidays.

The recurring work

What teachers have to keep on top of

Every one of these has a date attached, a document behind it, and somebody who notices when it slips. This is what goes on the desk.

DBS check and update service

Enhanced DBS check and update service subscription kept current, renewed or rechecked as the school's safer recruitment policy requires.

Safeguarding and Prevent training

Annual safeguarding and Prevent refresher training, with the school's safeguarding policy read and the acknowledgement signed each year.

Appraisal cycle

Objectives set in the autumn, a mid-year review, lesson observations and the end-of-year report, all on the school's performance management timetable.

Specification and curriculum changes

Exam board specification changes and Ofqual updates read and worked into schemes of work before the new cohort starts.

Exam entry deadlines

Entry deadlines for GCSE, A level and vocational qualifications met, including late entry fees for any candidate added after the board's date.

Access arrangements

Access arrangement applications submitted with the evidence the board requires before its deadline, with the centre's records kept for inspection.

Coursework and moderation

Non-examined assessment and coursework marks submitted, moderated and held for the board's deadline in the spring.

Parent reporting cycles

Parents' evenings, progress checks and written reports produced to the school calendar, with the data checked before each one goes out.

First aid and medical certificates

First aid certificate renewed on its three-year cycle, along with any medical needs training for named pupils in the class.

Pension and union paperwork

Teachers' pension service records checked and union subscriptions or payroll changes returned before the deadline each term.

What it costs to carry it

The teaching is the job, and the rest is added around it: entered between lessons, marked at the kitchen table and filed in the last week of a holiday. It breaks in predictable ways, with an exam entry missed for one candidate, a safeguarding record read but never signed, and an appraisal objective nobody has opened since October. A missed entry deadline or a lapsed DBS becomes the school's problem the same day, and the teacher is the one who has to explain it.

What the desk takes over

The desk works this list to its own schedule and reports what it did.

Exam and moderation dates

Tracking the entry window, the access arrangement deadline and the moderation date for every class taught.

Paperwork for signature

Preparing the annual safeguarding acknowledgement, the appraisal documents and the CPD record for signature.

Specification watch

Keeping the reading list, specification changes and scheme of work versions aligned to the current exam board.

Year dates

Holding the parents' evening dates, report deadlines and the first aid certificate expiry for the year.

What stays with the teacher

The teacher still plans the lessons, marks the work and decides what each pupil needs next, because that judgement comes out of the classroom. The desk holds the deadlines and prepares the paperwork around it.

Questions

How often does safeguarding training need renewing?

Annually for all staff, and the designated safeguarding lead needs a fuller course at least every two years. The desk holds both dates and prepares the training record.

Can the desk submit exam entries?

It tracks each board's entry deadline and the candidates on the list and prepares what the exams officer needs. The entry itself goes through the school's own portal.

What changes when a pupil joins mid-year?

The arrival date, the records requested from the previous school and any access arrangement evidence are added to the list. The school decides what is required.

Put the teacher's recurring work on the desk

Start with a name, a website and one sentence about what the business does. The desk proposes the list; the teacher corrects it.
